Cancelling Docusign: five business days' notice, envelopes that do not roll over, refunds and your documents
A paid Docusign eSignature plan renews automatically, monthly or yearly, until an administrator stops it. Docusign's help centre says the subscription renews on your billing anniversary date to the latest equivalent plan, and Docusign's terms say it renews for the same period unless you cancel at least five business days before the term ends. The other things that catch teams out are an envelope allowance that does not carry over, seat reductions that only apply at renewal, a refund policy that does not list the UK, and the difference between cancelling a subscription and closing the account, which can cost you access to your signed documents.
This guide covers how Docusign bills, the notice rule, who can cancel and how, refunds, seats and envelopes, renewal prices and what happens to your documents. It is based on the Docusign Sites and Services Terms and Conditions published on Docusign's UK site (last updated 13 January 2025) and Docusign's support articles on renewals, cancelling, downgrading, closing an account, refunds, seats and document storage, all checked on 28 October 2026. The terms say they govern business customers, and that if you have a Master Services Agreement or a similar agreement with Docusign, the general terms only apply where that agreement does not already cover the point. If you bought through a Docusign sales representative, the help centre says your service contract governs renewals, cancellations and seat reductions, so check your order form first. Prices are left out.
How a Docusign subscription bills
- Monthly or annual, renewing on the anniversary: Docusign's renewal article says a monthly or annual subscription renews automatically on your billing anniversary date, to the latest equivalent plan, until you downgrade to a free account or cancel. Section 4.4.2 of the terms says it renews for the same time period, at the then-current fee for the plan.
- Per seat: a seat is one user's access to the account. An account can have more seats than users, but not more users than seats.
- Envelopes come with each seat: 10 envelopes per seat per month on a monthly plan, or 100 per seat per year on an annual plan. Docusign's help article on reducing seats says the total can be shared among all users in the account.
- Overages: section 4.4.4 says that on a usage-based plan, use beyond the entitlement you bought is invoiced monthly in arrears at the per-unit fee in your plan, and charged to the payment method on the account.
- Where you bought it decides the rules: plans bought online at docusign.com are managed in the account, plans bought in the iOS app are billed by Apple, and plans bought through a Docusign sales representative follow the service contract and cannot be cancelled or refunded online.
- Changing plan or billing cadence: an administrator can switch plan, or move between monthly and annual billing, under Admin, then Plan and Billing, then Manage Your Subscription, then Switch Plan.
Notice: five business days in the terms
The help centre gives no deadline for plans bought online. Its renewals article says administrators who bought on docusign.com can manage, switch or cancel their plans online before the renewal date.
The terms do set one. Section 4.4.2 says a subscription renews automatically for the same period unless you cancel the plan or terminate the account at least five business days before the end of the current term, or set the account not to auto-renew in the admin console or by contacting Docusign Support. That is a short notice period, the same five business days HubSpot asks for a downgrade, and much shorter than Notion's 30 days. The clause does not separate monthly plans from annual ones, and it counts business days, not calendar days.
Section 4.6.4 adds that you can terminate your account at any time on 10 days' advance written notice, given as Docusign instructs on its website or through Docusign Support, and that you must receive a confirmation from Docusign for the cancellation to take effect. If you bought through an app store, you have to use that store's tools instead.
Accounts bought through a sales representative work to the contract. Docusign's renewals article says that where the contract includes auto-renewal, Docusign emails the renewal details 90 days before the renewal date, and that eligible accounts also get emails 60 and 30 days before renewal with a link to manage it online. Its auto-renewal article says that for Enterprise and Commercial customers, the 90-day email goes to the account Administrator, Billing Contact and Renewal Manager. Read the renewal clause in your order form, and if it asks for written notice, send a notice of non-renewal in the form it requires. See how to serve a notice of non-renewal for keeping proof that will stand up if a renewal charge is disputed.
Who can cancel, and how
You must be an account Administrator to manage billing and subscriptions. If the person who set the account up has left, make someone else an administrator well before the deadline.
For most plans bought online, sign in as an administrator and select Admin, then Plan and Billing under Account, then Manage Subscription, then Cancel subscription. Review the cancellation information, select Confirm Cancellation, then Continue. The account then downgrades to the Free version at the end of the subscription term. Docusign's article warns not to select Close Account if you only want to stop the renewal. Take a screenshot of the confirmation and keep any emails Docusign sends, as your record.
Several cases work differently. Legacy, Developer and Real Estate Starter plans have their own procedures. A plan bought in the iOS app is managed through Apple: Docusign says its support team cannot issue refunds or cancel auto-renewals for Apple-billed accounts, and you change or cancel the plan under Settings, then Subscriptions, on the device. Google Play purchases have a separate procedure too. And an account bought through a sales representative cannot be cancelled online; the renewals article says to contact your representative.
Refunds: a one-time window, and the UK is not listed
Section 4.4.5 of the terms says payments are non-refundable except as the terms expressly provide, as the parties otherwise agree or as the law requires. Section 4.6.4 provides one exception: if you terminate an annual plan within the first 30 days of the initial term, you can ask in writing for a refund of the fees for that term, which Docusign will consider in good faith but without obligation.
- The refund policy's windows: Docusign's refund policy lists 30 days from account activation for annual plans in the US, the EU and Brazil, 14 days for monthly plans in the EU, seven days for monthly plans in Brazil and no refund on monthly plans in the US. It does not mention the UK, so ask Docusign before relying on any window. It also calls this a one-time, risk-free offer for each person or entity.
- Online plans: if you opened the account online, closing it online or downgrading to Free shows whether you are eligible and issues the refund automatically if you qualify. Refunds go back to the original payment method.
- The refund flow can close the account: Docusign's refunds article says the account may be closed as part of the online cancellation flow, which can remove access to saved agreements. Download what you need before you start it.
- First annual renewal: if an annual plan renewed in the last 14 days, you can contact Docusign Support with the invoice to ask for a one-time refund exception, but only if it is your first annual renewal, nobody has sent an envelope in the new term and you have not had a refund exception before.
- Plans bought through a sales representative: cancellation and refunds follow your service contract, and the online refund flow does not apply.
Seats and envelopes: reductions wait for renewal
Adding capacity takes effect straight away. On Standard and Business Pro plans, an added seat is charged pro rata for the time left in the term, comes with the full envelope allowance for that term and does not change the renewal date. Administrators can add capacity at any point in the term before the 60-day renewal window.
Taking capacity away does not reduce the bill straight away. Removing seats takes effect at the end of the current billing term, and the subscription renews with the current number of seats. Removing or closing a user does not change the number of seats or envelopes you pay for. To reduce them on a plan bought online, an administrator goes to Plan and Billing, then Manage Your Subscription, then Edit Subscription Details, then Edit Quantity, and confirms the lower number. The change is saved as pending and applies on the renewal date. On an account bought through a sales representative, you have to ask the representative.
Unused envelopes do not carry over to the next term. On an annual plan, any allowance you have not used by the renewal date is lost, so check how many envelopes the account actually sends before you settle the seat count for the next term, not after the renewal. Before you close the profiles of people who have left, transfer any envelopes or templates another administrator needs to keep. See how to stop paying for unused software seats for the wider habit.
Renewal prices
Section 4.4.2 says a renewal is charged at the then-current fee for the plan. Section 4.4.1 lets Docusign change the prices of plans on sale, but for customers on an existing plan the change only takes effect at renewal, and section 4.6.3 says Docusign will give at least 30 days' advance notice before changing the fees in effect or adding new ones. If you do not want to continue at the new fees, the same section says you can terminate as section 4.6 describes.
Two more points matter at renewal. Section 4.4.3 says a promotional code only applies to the initial term unless your plan says otherwise, so each renewal is charged at the original, non-discounted price. And because the help centre says plans renew to the latest equivalent plan, check which plan the renewal will put you on as well as its price. For accounts bought through a sales representative, the renewals article says to review the 90-day renewal email or your new contract for updated charges. If you are negotiating, ask for the renewal price, or a cap on any increase, to be written into the order form; see how to cap a renewal uplift.
Your documents and data after you cancel
Cancelling a subscription and closing an account are different things, and Docusign's own article says a Free downgrade and account closure are not interchangeable. Cancelling moves the account to the Free version at the end of the term. Docusign's downgrade article lists what that means:
- You keep access to completed documents, and Envelope History and Saved Signatures are retained.
- A Free account can have only one user, and you cannot send new documents.
- Templates, Reports, Custom Fields and Multiple Users are no longer accessible.
If you still need to send documents, choose a lower paid plan instead of Free. Closing the account goes further. Docusign's article on closing an account says to download the documents you need first, because after closure, access to envelope history, saved signatures and downloading completed documents is no longer available. To close an account you must be the administrator and the owner of the email address on file.
Docusign's storage article says that when an account is closed, Docusign may keep sent, signed and voided envelopes for about two years to meet legal, compliance, auditing or security obligations. That is retention for Docusign's own obligations, and the closure article is clear that your access ends, so do not rely on it. Before you cancel or close:
- List the completed agreements and billing records you will need after the change, and download them before you change the plan.
- Remember that the online refund flow may close the account, so download first if you are asking for a refund.
- Draft envelopes are kept for 30 days from creation by default, so finish or send any drafts you still need before the plan changes.
Removing leavers and transferring their envelopes and templates belongs on your software offboarding checklist.
A routine for Docusign
- Write down each Docusign account, its plan, monthly or annual billing, the renewal date from Admin, then Plan and Billing, the number of seats, who the administrators are, and whether you bought online, through Apple or Google Play, or through a sales representative.
- On an account bought through a sales representative, read the renewal and notice clause in the order form, and make sure the 90-day renewal email goes to someone who will act on it.
- Before the 60-day renewal window, compare envelope use and seat numbers with what you need, while capacity can still be added mid-term.
- Remove leavers, transfer their envelopes and templates, and set the lower seat count as a pending change before the renewal date.
- If you plan to leave, download the documents you need, then cancel at least five business days before the end of the term and keep Docusign's confirmation.
UK consumer protections around subscriptions mostly do not reach a business customer; see the UK subscription rules for business software. Docusign's terms do have a UK section, 11.17, but it applies only to consumers habitually resident in the UK. The terms are governed by the laws of the State of California under section 10.9, and section 10.7 sends disputes to mandatory arbitration. Read the terms for each tool you run rather than applying one rule of thumb to all of them.
Tracking Docusign in StackTrackr
Record each Docusign account as its own tool. On annual billing, enter the cost of the full year with an annual billing cycle; on monthly billing, enter the monthly cost with a monthly billing cycle. Tick Auto-renews, set the renewal date to the one shown under Admin, then Plan and Billing, and under License key and seats enter the number of seats, updating it when an invoice shows seats were added. Make the tool's owner a Docusign administrator, so the reminders reach someone who can change the plan.
Enter a notice period in days and StackTrackr works out the cancellation deadline, shows it in the register's Cancel by column, and reminds you ahead of it and again on the day. Docusign's terms ask for five business days, and weekends and bank holidays stretch that in calendar days, so enter at least 14; on an account bought through a sales representative, use the notice period in your order form. Starter alerts at 30 and 7 days; Team and up use a cadence you set, 90, 60, 30 and 7 days by default. Once you have cancelled, switch auto-renew off and set the renewal date to the day the plan ends, so the reminders count down to the downgrade.
If Docusign's price for your plan changes, schedule the price change with the date it applies so your forecasts include it. Keep your invoices, the cancellation confirmation and any order form in the tool's document vault. Have a look at what it tracks, or start a free trial and add your Docusign account first.
