Renewal date

The renewal date is the date on which a contract term ends and, unless cancelled, renews for another period. It is the headline date most people think of, but it is rarely the date you actually need to act on.

Because most contracts require notice, the date that matters for a decision is the cancellation deadline, which falls one notice period earlier. Record the renewal date accurately and the deadline follows from it.

One contract can carry four dates and only one of them is a decision. A tool bought on 1 June 2026 on an annual term with 30 days notice has a purchase date of 1 June 2026, a renewal date of 1 June 2027, an effective end date that is also 1 June 2027 while the current term is running, and a cancellation deadline of 2 May 2027. The one to put in a calendar is 2 May.

The renewal date is also the only one of the four that moves on its own. Once 1 June 2027 passes on an auto-renewing contract, the next renewal is 1 June 2028 and the deadline is 2 May 2028, without anyone editing anything. A renewal date written down once and never revisited is out of date the day after it first passes, which is how spreadsheets end up listing dates in the past.

A contract that does not auto-renew is treated differently on purpose. Turn the auto-renew flag off and the stored renewal date stays where it is, so once it passes the record reads as overdue rather than quietly rolling to next year. A subscription that renews itself and an agreement that simply stops are two different kinds of deadline, and only one of them is survivable by doing nothing.
