Cancelling Notion: 30 days' notice in the agreement, 60 to cut seats, refunds and your data

13 min read

A paid Notion workspace renews automatically, monthly or yearly, until someone cancels it. Notion's help centre makes cancelling look simple: change the plan in Settings and keep the paid features until the end of the billing cycle. Notion's Master Subscription Agreement, which governs subscriptions for organisations, adds two deadlines the help centre does not mention: 30 days' written notice if you do not want to renew, and 60 days' written notice if you want fewer members or a lower plan next term. The other things that catch teams out are members who are billed as soon as they join, a seat count that only falls at renewal, and short refund windows.

This guide covers how Notion bills, both notice rules, who can cancel and how, refunds, seats, renewal prices and what happens to your workspace and data. It is based on Notion's Master Subscription Agreement (the version effective from 17 August 2026) and Notion's help centre articles on billing, members and billing, changing and downgrading your plan, refunds, invoices and exporting, all checked on 26 October 2026. The agreement says that where documents conflict, your order form comes first and the help centre comes last, so where the two differ, this guide says so. Personal use of Notion is covered by separate Personal Use Terms, which this guide does not cover. Prices are left out.

How a Notion subscription bills

  • Per workspace: plans apply and are billed at the workspace level. One account can belong to several workspaces, each on its own plan, so every paid workspace is a separate subscription to track and cancel.
  • Per member: one seat is assigned to each member of the workspace. Guests do not take a paid seat, but they only get access to the pages they are invited to, and each plan has a guest limit.
  • Paid upfront, renewing on the same day: Notion's billing article says you pay at the start of each billing interval and the plan renews automatically, yearly on the same calendar day you first bought it, or monthly on the same day each month.
  • Renewing for the same length of term: section 1.1 of the agreement says each subscription, including add-ons, renews for a period equal to the term that is ending, unless an order form says otherwise. Section 1.2 says an add-on's term runs alongside the main subscription's.
  • Upgrades move the date: an upgrade takes effect immediately and starts a new billing period, with a prorated reduction for the unused time on the old plan. Switching from monthly to yearly billing also starts a new annual cycle on the day you change. After either, check the renewal date again under Settings, then Billing.
  • No emailed invoices: Notion's invoices article says it does not send email invoices at this time. Invoices are viewed under Settings, then Billing, and Notion will add your billing address or VAT number on request through support.

Notice: 30 days in the agreement, none in the help centre

The help centre gives no deadline. It says a Notion subscription, annual or monthly, renews automatically until you cancel it, and that after you cancel you keep the paid features until the end of your billing cycle.

The agreement does set one. Section 1.1 says that, unless your order form provides otherwise, each subscription renews automatically unless either party tells the other in writing, at least 30 days before the end of the current term, that it will not renew. The agreement's definition of an order form includes Notion's online sign-up and subscription pages, so a plan bought in the app is covered too. That is a real notice period, the same length as monday.com's 30 days. The clause does not separate monthly plans from yearly ones.

Section 13.2 also sets out how notice must be given. Notices must be in writing and in English, and count as given only when sent by post with a return receipt requested, delivered by hand, or sent by a documented overnight delivery service. Notice to Notion goes to Notion Labs, Inc., 685 Market Street, San Francisco, CA 94105, for the attention of the Legal Department. The help centre's in-app cancellation is the route Notion itself describes, so use it, but if you are on a negotiated order form, read its renewal clause and send a notice of non-renewal in the form the order form or the agreement requires. See how to serve a notice of non-renewal for keeping proof that will stand up if a renewal charge is disputed.

Who can cancel, and how

Only workspace owners can view and manage plans and billing. Members can ask an owner for an upgrade, but they cannot cancel. If the person who set the workspace up has left, give someone else the workspace owner role well before the notice deadline.

Plan changes are made on desktop or web, not in the mobile apps. Open Settings in the sidebar, then Billing, then Change plan, pick the plan you are moving to (the Free plan, if you are leaving), choose Continue, give feedback and confirm with Downgrade. Notion then confirms the downgrade and shows when your current plan ends. Because Notion does not email invoices, take a screenshot of that confirmation and keep it as your record.

Three cases work differently. A subscription bought in the Apple App Store is managed through Apple, and Notion's help centre says to contact Apple about cancellations and refunds. If you have several paid workspaces, each one is changed separately; downgrading one does not touch the others. And if you buy through a reseller, section 4.6 of the agreement says you pay the reseller under your agreement with them, the reseller cannot change Notion's terms, and any refund or service credit is paid to the reseller to pass on to you.

Refunds: three days on monthly, 30 on annual

Section 4.1 of the agreement says that, except where the agreement expressly says otherwise, order forms cannot be cancelled and fees are not refundable. The help centre adds a goodwill policy for mistaken sign-ups: Notion will refund the full amount, not pro-rated, if you downgrade within three days of signing up for monthly billing, or within 30 days of signing up for annual billing. Notion's refunds article measures the same windows from the date the invoice is issued and says a refund can be processed in most cases, so treat it as likely rather than guaranteed.

  • Who asks: the request has to come from the workspace owner's or billing contact's email address, through support in the app or by email.
  • Members added by mistake: remove them first, then ask within three days of the invoice date, and Notion will refund the prorated charges for them.
  • Notion credits: extra credits you bought can be refunded only while none of them have been used.
  • Renewals: neither article says a renewal invoice qualifies, so do not plan on getting money back after an unwanted renewal. Section 10.4 of the agreement says that if you end the agreement other than for Notion's uncured breach, the fees for the rest of the term are still payable.

Seats: members cost money as soon as they join

Adding a member to a paid workspace is a billable action. On a monthly plan, the next invoice covers the month ahead plus prorated charges for members added during the last month. On a yearly plan, Notion invoices at the next monthly mark, on the same calendar date you bought the plan, for each new member for the rest of the year plus prorated charges for the time they have already been in the workspace. Either way, the bill can change every month, which works like a rolling true-up.

Members can also arrive without an owner adding them. If a workspace has allowed email domains set, anyone who signs in with a matching work email joins automatically as a member, and Notion's help centre says you are billed accordingly. Turning a guest into a member is charged too. People who only need a handful of pages can stay guests, within the plan's guest limit.

Removing people does not reduce the bill straight away. Decreases take effect at the next billing cycle and are not prorated mid-cycle; the paid seat stays available until the end of the current interval, so you can give it to someone else at no extra charge. At renewal, Notion bills for the members in the workspace at that point. On a yearly plan, that means a leaver in month two is paid for until the annual renewal.

Section 4.2 of the agreement is stricter. It says you may not downgrade your plan or reduce the number of users during a term, and that to do either for the next term you must give Notion 60 days' written notice before the current term ends. It also warns that a downgrade can lose content such as page histories or audit logs, and that Notion is not responsible for that loss. The help centre describes the seat count being recalculated at renewal without mentioning notice, but it ranks below the agreement. On a yearly plan, do the seat review more than 60 days out; see how to stop paying for unused software seats for the wider habit.

Renewal prices

Section 4.1 of the agreement says that, unless your order form says otherwise, a renewal term is charged at Notion's standard fees for your plan in effect when that term starts. A discount or an older price from your first term does not carry over unless the order form says so, and the agreement does not promise advance notice of the renewal price. Prices are stated exclusive of taxes such as VAT, under section 4.4.

So check the current price for your plan well before the 30-day point, not when the renewal charge arrives. If you are negotiating a yearly order form, ask for the renewal price, or a cap on any increase, to be written into it; see how to cap a renewal uplift. Moving from yearly to monthly billing only takes effect when the annual cycle ends, so it is not a way out of a yearly term.

Your workspace and data after you cancel

Cancelling a self-serve plan is a downgrade, and Notion downgrades at the end of the billing cycle. The workspace is not closed: it carries on, usually on the Free plan, with that plan's limits. Notion's downgrade article lists what changes on Free, and says the list is not exhaustive:

  • A workspace with two or more people can use up to 1,000 blocks, and each uploaded file must be 5MB or less.
  • Page version history goes back seven days, and the workspace is limited to 10 guests.
  • SAML SSO stops and verified domains are no longer verified. The audit log is no longer available and Notion stops collecting events for it.
  • Existing automations keep running but become view-only, Custom Agents are switched off but not deleted, and advanced security settings reset to the defaults.

A failed payment can lead to the same place without anyone deciding it. Notion retries a failed payment up to 8 times within the next month; if it still fails, the workspace is restricted to limited access for a period and then downgraded to Free.

If the agreement itself ends, section 10.4 says Notion will make your data available for retrieval for 30 days, after which it has no obligation to keep it and may delete it. Section 3.1 lets you export your data at any time during the term, so export before the plan ends rather than relying on that window:

  • On desktop or web, open Settings, then General, and choose Export all workspace content. You get pages as HTML or Markdown, databases as CSV, and uploaded files. A whole-workspace export as PDF is not offered.
  • Allow time: an export can take up to 30 hours to process, and the download link Notion emails you expires after 7 days.
  • Some things are not included: pages the person exporting cannot access, such as other members' private pages, and on Enterprise an owner may have disabled exporting. Ask people to move anything they need out of private pages first, and keep any audit log records or older page history you rely on before the plan ends.

Removing leavers and handing over the pages they own belongs on your software offboarding checklist.

A routine for Notion

  1. Write down each paid workspace, its plan, monthly or yearly billing, the renewal date from Settings, then Billing, the number of members, who the workspace owners are, and whether you bought in the app, through Apple, through a reseller or on an order form.
  2. Check the allowed email domains setting, so you know whether people can join, and be billed, without an owner adding them.
  3. Put two dates in the diary for each yearly renewal: 60 days before, the last day to give notice of fewer members or a lower plan, and 30 days before, the last day to give notice that you will not renew.
  4. Before the 60-day point, remove leavers, move people who only need a few pages to guests, and decide on the plan for next term.
  5. If you plan to leave, export the workspace, then cancel at least 30 days before the renewal date and keep the confirmation and a copy of any written notice you sent.

UK consumer protections around subscriptions mostly do not reach a business customer; see the UK subscription rules for business software. Notion's agreement is with Notion Labs, Inc. and, under section 13.6, is governed by the laws of the State of California, with disputes heard in San Francisco County. Read the terms for each tool you run rather than applying one rule of thumb to all of them.

Tracking Notion in StackTrackr

Record each paid Notion workspace as its own tool. On yearly billing, enter the cost of the full year with an annual billing cycle; on monthly billing, enter the monthly cost with a monthly billing cycle. Tick Auto-renews, set the renewal date to the one shown under Settings, then Billing, and under License key and seats enter the number of paid members, updating it when an invoice shows members were added. Make the tool's owner a Notion workspace owner, so the reminders reach someone who can change the plan.

Enter a notice period in days and StackTrackr works out the cancellation deadline, shows it in the register's Cancel by column, and reminds you ahead of it and again on the day. On a yearly plan, 60 days makes the deadline land on the last day to give notice of fewer members or a lower plan; 30 days matches the agreement's non-renewal notice if you only ever stay or leave. Starter alerts at 30 and 7 days; Team and up use a cadence you set, 90, 60, 30 and 7 days by default. Once you have cancelled, switch auto-renew off and set the renewal date to the day the plan ends, so the reminders count down to the downgrade.

If Notion's price for your plan changes, schedule the price change with the date it applies so your forecasts include it. Because Notion does not email invoices, keep copies of your invoices, the cancellation confirmation and any order form in the tool's document vault. Have a look at what it tracks, or start a free trial and add your Notion workspace first.
