Notice of non-renewal

The formal notification telling a vendor a contract will not renew, delivered in the form and by the deadline the agreement requires.

Also known as: Non-renewal notice, Notice to terminate

A notice of non-renewal is the formal message that tells a vendor a contract will end rather than roll over. Most agreements set out both a deadline and a method: a stated number of days before the renewal date, and often a named contact, a postal address, or a requirement that the notice be in writing rather than raised as a support ticket.

Because the burden of proof sits with you, what matters is not only sending it but being able to show it was sent in time and in the required form. Keep the sent copy, record the date it went, and note the vendor's acknowledgement against the tool, so the exit is still provable months later if an invoice arrives anyway.
