Cancelling Sage Accounting: two notice periods, no refunds, price changes and what happens to your data

8 min read

Sage Accounting is sold as a monthly subscription with no long-term contract, so it rarely has an annual renewal date to diarise. It still has a deadline every month. Sage's help centre tells you to cancel at least five working days before your next billing date to avoid another payment, while Sage's terms of service talk about thirty days' written notice. Payments are non-refundable, price rises arrive on thirty days' notice, and your data is held for six months after you leave, not forever.

This guide covers how the subscription bills, the two notice figures and how to cancel, refunds, price changes, free trials and offers, Sage Payroll and connected apps, and what happens to your data. It is based on Sage's Cloud Services Terms of Service (last updated August 2026), which cover Sage Business Cloud Accounting and Sage Business Cloud Payroll among other products, and on Sage's UK help centre and pricing pages as they stood in October 2026. Prices are left out because Sage changes its offers often; check the pricing page for the current figures.

How a Sage Accounting subscription bills

  • Monthly, with no long-term contract: Sage's UK pricing page lists each plan at a monthly price and says you can upgrade or cancel at any time, with no long-term contracts or commitments.
  • Billed in advance: Sage's article on understanding its invoices says charges are billed in advance from the first day of your billing period. Each month you pay for the month ahead.
  • Fixed terms renew: if your order is for a fixed term rather than a rolling monthly plan, clause 9.1 of the terms says it renews automatically unless either side gives written notice of non-renewal at least thirty days before it ends. Most small businesses buying from the pricing page will be on the rolling plan, but check your order.

Two notice figures, and which one to plan around

Sage's help article on cancelling your subscription (last modified 11 June 2026) says to cancel at least five working days before your next billing date to avoid further payments. Clause 9.2 of the terms allows a subscription to be ended on thirty days' written notice of termination. The help article is the practical instruction for a monthly plan cancelled online; the terms are the contract. Where the two differ, the safe course is to plan around the longer figure: decide a month ahead, and cancel online no later than five working days before the billing date you want to avoid.

Five working days is not five days. A weekend in between turns it into seven calendar days, and a bank holiday adds another, so the last safe day moves around from month to month. That differs from vendors where the notice period runs forward from the day you cancel, such as Xero's one month. With Sage the deadline counts back from the billing date, so missing it by a day costs a whole month.

How to cancel Sage Accounting

The help article says the cancellation is done online, from Manage business and then Manage subscriptions. Before it goes through you are asked to tick a box confirming you have downloaded any data you need, and Sage then sends an email to confirm the cancellation. Keep that email: it is your proof of the date you gave notice. See how to serve a notice of non-renewal for keeping a record that will stand up if a charge is disputed.

The same article says that your subscription remains active until your next billing date, so cancelling early does not cut your access short. If you subscribed through an app store rather than directly, it says to cancel at least 24 hours before your renewal date, through the store. To come back later, it says you log in and enter your payment details again.

No refunds for the rest of the month

Clause 4.1 of the terms says all payment obligations are non-cancellable and non-refundable, and clause 9.4 says that on termination Sage is not obliged to refund any prepaid and unused fees. Because you pay in advance, cancelling halfway through a month does not return the second half. Time the cancellation against the billing date rather than the day you stop using Sage, and if you are moving to another package, run the two side by side within a month you have already paid for.

Price changes come with thirty days' notice

Clause 4.1 also says Sage will notify you at least thirty days in advance before applying any fee change, and that the change takes effect from your next payment date after the notice period has ended. The terms do not give a separate right to cancel because of a price rise, but on a monthly plan you do not need one: the ordinary cancellation route is open, so a price email from Sage is a decision with a date on it. Make sure the address Sage writes to is one somebody reads.

Free trials and introductory offers

Clause 2.1 says that at the end of a free trial or promotional price you are automatically charged for the services, and that an offer can only be redeemed once. Sage's UK promotion terms add that a promotion applies to the base price only, not to additional modules, add-ons or third-party products. So the price you see in the first months is not the price you will pay after them. Record the date the offer ends and the full monthly price that follows, and review the subscription before that date rather than after the first full invoice.

Sage Payroll and connected apps

In October 2026 Sage's UK pricing page said all three Sage Accounting plans include Sage Payroll, with an extra monthly charge per employee beyond the number the plan includes. A standalone Sage Payroll subscription is separate: Sage's Payroll FAQs (last modified 28 November 2025) say cancelling it needs 30 days' notice, and the cancellation help article covers Business Cloud Payroll through the same Manage subscriptions steps. Before you leave, run any final payroll and download the payroll records you are required to keep.

Apps you connect to Sage are third-party services under their own providers' terms, according to clause 7.1, and clause 7.3.2 says Sage is not responsible for any modification, loss or deletion of your data by a third-party service. Cancelling Sage does not settle those subscriptions for you. List every connected app before you cancel, check each one's notice terms, and cancel or reconnect them on their own timetable.

Your data: export it, because the clock starts at termination

Clause 9.5.1 says customer data may be exported at any time during the term of the agreement. After termination, Sage will not delete it from its production environment for six months, during which it may help you export it at its standard hourly consulting rate, and after which it may delete all of it. Neither the terms nor the cancellation article describe any read-only access once a cancelled subscription ends, so plan as if your access ends with your last paid billing period.

That makes the export a job for the notice period, not for afterwards. Download the reports, ledgers and records you and your accountant will need while the subscription is still active, and remember that HMRC record-keeping duties do not end when your software subscription does.

A routine for Sage Accounting

  1. Write down the plan, the monthly price after any offer ends, the billing date, whose card or account pays, and which connected apps and payroll subscriptions are billed alongside it.
  2. If you are on an introductory offer, diarise the date it ends and review the subscription before then.
  3. If you plan to leave, decide a month ahead, export your data, and cancel online at least five working days before the billing date you want to avoid. Keep the confirmation email.
  4. Cancel or move each connected app and any standalone payroll subscription under its own terms.
  5. Treat a price change email from Sage as a deadline: you have at least thirty days to decide whether to stay, change plan or leave.

Each vendor in this series handles notice its own way, and UK consumer rules on subscriptions do not protect a business customer in the same way; see the UK subscription rules for business software. Read the terms for each tool you run rather than applying one rule of thumb to all of them.

Tracking Sage Accounting in StackTrackr

Add Sage Accounting as a tool with its monthly cost and a monthly billing cycle, tick Auto-renews, and set the renewal date to your next billing date. Record a standalone Sage Payroll subscription and each connected app as separate tools with their own costs and dates. Make the owner the person who decides whether you stay on Sage, so the reminders reach someone who can act on them.

For the notice period, enter 7 days. StackTrackr counts the notice period back from the renewal date to give you a cancellation deadline, and seven calendar days covers five working days in an ordinary week, so the deadline it shows matches Sage's help centre advice. Add a day in a month with a bank holiday. Once you have cancelled, switch auto-renew off and set the renewal date to the end of your last paid billing period, so the reminders count down to the day your access ends.

If Sage gives notice of a price change, schedule the price change with the date it takes effect so your forecasts include it. Keep the cancellation confirmation, your final invoice and your data export receipt in the tool's document vault. Have a look at what it tracks, or start a free trial and add your Sage subscription first.
