Running the reminder sweep or sending the digest on demand
How the Run now controls work, what the sweep and the digest each do, and how to tell whether email is being sent live or written to preview.
Alerts normally run automatically each day, but the 'Run now' card on the Overview tab lets you trigger them by hand, which is handy for testing your setup or nudging things along. There are two buttons: 'Run reminder sweep' and 'Send digest'. Both act only within your own account, so you can never trigger another organisation's email.
The reminder sweep scans your actively managed tools and sends an individual reminder for any whose reminder offset lands on today, covering both renewal reminders and cancellation-deadline alerts. Each tool uses its own configured reminder days, and cancellation deadlines always alert on the day itself. Tools that are archived, cancelled, expired or already under notice are skipped, as are any with reminders switched off.
The sweep is idempotent for the day, so the same reminder will not fire twice for the same tool, deadline and date. That means you can press the button safely without worrying about spamming owners; anything already sent today is simply reported as skipped. When it finishes you will see a summary of how many tools were scanned, how many reminders fired, and how many were skipped.
The digest is different: it gathers everything due in the next 90 days into a single summary email and sends it to your account. Recipients are your account's admins plus the internal owners of the tools in the digest. If there is nothing on the horizon, or nobody to send to, the digest is skipped rather than sending an empty message, and the result will tell you so.
Each reminder goes to the tool's seated owner and your account admins. The free-text business owner field is a label only and is never emailed, because a name without a verified account has no inbox to reach. This keeps alerts tightly scoped to people who actually belong to your organisation.
Watch the badge to know what will happen when you press a button. 'Live sending' means email goes out for real over your configured mail server. 'Preview' means no mail server is set up yet, so messages are written to a local preview folder instead of being sent, which is ideal for checking content and recipients safely before you go live. Every run, in either mode, is recorded in the notification log lower down the page so you always have an audit trail.
