What happens if you exceed your plan's tool limit
If your estate grows past your plan's tool allowance, StackTrackr locks down to two choices: upgrade your plan, or remove tools to get back under the cap.
Every plan includes a set number of tools, and that count is a retained-assets figure: it includes archived and cancelled records, not just the active ones, so you cannot slip under the cap by archiving. Most of the time you stay comfortably within your allowance. You can only ever be over it after a change that lowers your headroom, such as a downgrade or a reverse trial ending while your estate is larger than the plan you drop to.
When you are over the allowance, StackTrackr enters a lockdown. This is deliberate: rather than quietly letting an over-limit account carry on, it narrows the app to the two actions that resolve the situation. You can upgrade to a plan that fits, or you can delete tools until you are back within the cap. The moment you are back under it, everything returns to normal automatically, because the count is always live.
While locked, the navigation strips back to just the Software register and Plan and billing. The dashboard, reports and the other settings pages are withheld and send you to Plan and billing if you try to open them. On a tool, Edit and Archive are switched off, and only Delete remains, since deleting is the way to bring the estate back in line. The Add software button is hidden too.
A banner across the top explains the state and how many tools you are over by. If you are an admin it offers an Upgrade button; if you are a member it points you at an admin, because changing the plan is an admin action. Members cannot delete tools either, so in practice an admin resolves the lockdown by upgrading or by removing a few records.
Nothing is lost during a lockdown. Your tools, documents and history all remain exactly as they were - the app is simply paused on everything except the two ways out until your estate fits your plan again.
