Zoom renewals: the 30-day notice, why licences only come off at renewal and what happens to your recordings
A paid Zoom plan does not stop when its term does. Under Zoom's Terms of Service, unless your Order Form expressly says otherwise, each renewal term begins automatically at the end of the current one, unless written notice of termination or modification is given at least 30 calendar days before the next renewal term starts. Miss that and the next term is paid for, because Zoom's charges are non-cancelable for the term and non-refundable.
What catches teams out is that the 30 days covers changes as well as cancellations, and that licences you stop using keep being billed until the renewal. This guide covers how the term and renewal work, the notice window, how to cancel, what you can add and remove and when, how price changes reach you, and what happens to your recordings if you leave. It is based on Zoom's Terms of Service (effective 11 August 2023) and its support articles as they stood in October 2026. The terms say that where an Order Form agreed by Zoom conflicts with them, the Order Form controls, so if you signed a quote with Zoom's sales team, read it alongside this guide.
The term and automatic renewal
- Term: each Order Form sets your initial subscription term and any renewal term. The terms count an online registration as an Order Form, so a plan bought in the web portal has one too: the plan you chose when you bought it.
- Renewal: unless the Order Form expressly says otherwise or the law prohibits it, each renewal term begins automatically. Zoom's renewal article says automatic renewal is enabled on all plans purchased online.
- Plans bought through sales: the same article says that on a sales-quoted subscription with auto-renew on, the plan renews until you cancel it, and with auto-renew off it is cancelled at the end of the service period unless you get a new quote from Sales or sign up again online. Changes you request take place at the end of the term shown on the quote.
- No refunds mid-term: clause 12.2 says payments are non-cancelable for the current term and are final and non-refundable, unless Zoom agrees otherwise, the law requires it or your Order Form says so.
The notice window: 30 days, for changes as well as cancellations
Clause 14.1 sets a Renewal Notice Period: written notice of termination or modification at least 30 calendar days before the next renewal term begins, or within any notice period the law requires. It says how to give it, too: through the billing portal, if one is available for your account, or by email to renewals@zoom.us. Clause 14.2 then says a cancellation takes effect on the last day of the current term, provided the notice was proper and timely. If your Order Form sets a different period, that one applies, and the same goes for notice periods on any other contract.
The help centre reads more loosely. Its cancellation article says cancelling stops future renewals, that the cancellation becomes effective as of your next renewal date, and it gives no cut-off. The terms are the contract, though, and they ask for 30 calendar days. On an annual plan, treat 30 days before the renewal date as the deadline for cancelling or for cutting licences, and act earlier than that if you can. The clause does not distinguish monthly from annual plans; on a monthly plan, the practical point is to cancel or reduce well before the next invoice date.
Clause 14.1 also says that if the law requires it, Zoom will send a reminder before a renewal term starts, and that any statutory right to end early is unaffected. Do not plan around either. The UK's new subscription rules are written to protect consumers, and a business buying Zoom for its staff should assume no reminder is coming.
How to cancel a Zoom plan
Zoom's cancellation article says you must be the account owner, an admin, or have a custom role with billing privileges, and be able to sign in to the account that owns the subscription. For a plan bought directly from Zoom, it describes this route in the web portal:
- Sign in to the Zoom web portal.
- Click your profile picture or initials in the top-right corner, then click Plans and billing.
- Find the plan and click Cancel Plan.
- Confirm. Zoom sends a confirmation email, and the plan shows as pending cancellation until the term ends.
Three details from the same article are worth knowing. Active add-ons have to be cancelled before the base plan can be. If the cancel option is missing, self-service cancellation is not available on that account, and you contact your Account Executive or use the Zoom Virtual Agent in Zoom's support chat instead. And cancelling does not automatically generate a refund: the plan stays usable until the end of the term, and you can reactivate it at any point before then. A plan bought through Google Play or the Apple App Store has to be cancelled through that store. Whichever route you take, keep written proof of the date. Because clause 14.1 names renewals@zoom.us, an email there saying you will not renew, sent well inside the window, is a useful backstop. See how to serve a notice of non-renewal for the wording.
Licences come off at renewal, not before
Clause 2.2 of the terms is headed Minimum Commitment. It says you will maintain the minimum quantity of the Services on your Order Form for the whole of the current term, and that any timely modification takes effect only when the next renewal term begins, unless you are asking for an increase.
- Bought, not used: unassigning a leaver's licence frees it for someone else, but the quantity you pay for stays the same until the renewal.
- Unassign first: Zoom's article on reducing licences says licences assigned to users have to be unassigned before you can lower the count, and that any unpaid invoices have to be settled first.
- Effective at the end of the cycle: the same article says a reduction takes effect at the end of your current billing cycle, not immediately, that you keep access to all licences until your renewal date, and that the plan shows as Pending Downgrade until the change reaches your next invoice.
- No refund or credit: Zoom's renewal article says removing licences takes effect at the end of your subscription term without any refund or credit.
- Contracts and custom pricing: if your account has custom pricing or a signed contract, the reduction article says you may not be able to reduce licences yourself, and points you to Zoom Support.
In the web portal, the reduction article's route is Plans and Billing, then Plan Management, then Manage next to the plan and Edit Plan, where you lower the count and click Place Order. Because the change only bites at renewal and still has to respect the 30-day notice in clause 14.1, the work of reclaiming unused seats has to be done before that window closes: count the licences actually assigned and in use, unassign the ones nobody needs, and lower the count in good time.
Added licences are prorated to your cycle
Adding is easier than removing. Clause 2.2 carves increases out of the renewal-only rule, saying they take effect as indicated in the Order Form, and Zoom's renewal article says that for new licences Zoom calculates a prorated price, aligning it with your original payment cycle. So a licence added late in an annual term is charged for the part of the term left, and it renews on the same date as the rest of the plan, which is co-termination built in. The catch is the rest of clause 2.2: taking the licence off again is a modification, and under the default terms a modification only takes effect at the next renewal.
What you pay at renewal
Two clauses in section 12 decide what the next term costs.
- Price changes: clause 12.3 says Zoom may change prices at any time. For a change to your charges it gives at least 30 calendar days' notice, or whatever period the law prescribes, and unless your Order Form prohibits it, the change takes effect when your next renewal term begins. If you want to cancel or change the affected services instead, you must do so within that notice period; if you do not, you are deemed to have accepted the new price.
- Promotions end: clause 12.4 says a promotional rate, discount or special offer on an Order Form may expire under the terms of the offer or when a renewal term begins, and that it may expire without further notice unless your Order Form or the law says otherwise. If your first term was on an offer, expect the renewal at the standard price unless the Order Form protects it.
Put together, a price-change email from Zoom starts a clock: it is your window to cancel or cut licences before the new price applies. The terms set no cap on rises. If you want one, it has to be agreed in an Order Form, ideally before you sign; see how to cap a renewal uplift and how to negotiate the renewal.
Leaving: your recordings and the 30-day window
Clause 14.5 says that for 30 calendar days after the agreement expires or is terminated, Zoom will give you access to retrieve your Customer Content, after which it is deleted in line with the law, the agreement and Zoom's regular deletion procedures.
Zoom's cancellation article says the same about cloud recordings in practice: they remain available for 30 days after the paid subscription ends, and are then permanently deleted and cannot be recovered. Thirty days goes quickly when nobody is looking after the account any more, so download the recordings you need to keep before the term ends, not after.
Make sure Zoom's notices reach the right people
Clause 33.8 says Zoom may give you notice by email to the address on record in your account, that you are responsible for keeping that address current, and that a notice sent to it is binding on you. A price-change notice that lands in a former employee's inbox still starts the 30-day clock. Check the email on the account when someone leaves, and make sure at least one current person holds the owner, admin or billing role that Zoom requires to cancel or change the plan. Add both to your offboarding checklist.
A routine for the Zoom renewal
- For each Zoom plan, write down the plan, the licence count, any add-ons, the renewal date shown in Plans and billing, whether it was bought online or through a sales quote, and any notice period, renewal term or pricing terms in the Order Form.
- About 60 days before the renewal date, review which licences are assigned and in use, unassign the ones nobody needs, and decide the count for the next term.
- At least 30 days before the renewal date, lower the licence count or cancel in the web portal, or tell your Account Executive and renewals@zoom.us in writing, and keep the confirmation.
- If you are leaving, download the cloud recordings and other content you need before the term ends.
- Treat any price-change email as a deadline: decide within its notice period whether to accept the new price, cut licences or cancel.
Each vendor in this series handles seats and renewals its own way. If you also run Slack or Microsoft 365, read those guides too rather than applying one rule of thumb to every tool.
Tracking Zoom in StackTrackr
Record each Zoom plan as its own tool, and split out add-ons that renew on a different date. On annual billing, enter the cost of the full year with an annual billing cycle; on monthly billing, enter the monthly cost with a monthly billing cycle. Set the renewal date to the one shown in Plans and billing, or to the end of the term on your sales quote, and under License key and seats enter the licence count you pay for, updating it when you add licences mid-term. If a sales-quoted plan has auto-renew off, switch auto-renew off in StackTrackr too: there is then no cancellation deadline, and the reminders count down to the end date, when a new quote has to be in place.
For an auto-renewing annual plan, enter a notice period of 30 days, or the period in your Order Form if it differs. StackTrackr then works out the cancellation deadline, shows it in the register's Cancel by column, and reminds you ahead of it and again on the day. Starter alerts at 30 and 7 days; Team and up use a cadence you set, 90, 60, 30 and 7 days by default, so the 60-day reminder is the cue for the licence review. If Zoom gives notice of a price change, schedule the price change with the date it takes effect so your forecasts include it. Keep the Order Form, any sales quote and your cancellation confirmation in the tool's document vault. Have a look at what it tracks, or start a free trial and add your Zoom plan first.
