Renewals & reminders

The weekly renewals digest

The digest is a per-account weekly summary of everything renewing or needing notice within the horizon, sent only to that account's people.

Where individual reminders fire on specific days, the digest is a regular roll-up. It gathers everything coming due within a horizon - 90 days by default - into a single summary email so nothing is a surprise.

The digest is built per account and sent only to that account's own people. Each account sees only its own software; renewals are never pooled across different customers.

For each tool, StackTrackr picks the most relevant date. If the tool auto-renews and its cancellation deadline falls within the horizon, the digest lists the deadline. Otherwise it lists the renewal or expiry date if that falls within the horizon. Items are ordered by how soon they are due, closest first.

Records that are cancelled, marked notice given, or archived are left out, since they no longer need a decision.

Recipients are the account's admins plus the internal Owners of the tools that appear in that digest. If an account has nothing on the horizon, or no deliverable recipients, no email is sent rather than an empty one.

Admins can trigger their own account's digest on demand with the in-app run control, which is handy for a quick check before a renewals meeting. The scheduled job runs across every account automatically.

Each digest carries an unsubscribe path and is recorded in the notification log, so there is always an audit trail of what was sent and to whom.
