The dashboard and its headline stats

The dashboard is your home screen and it answers one question: what needs my attention? Across the top sit five headline stats, and below them an Action needed list, a breakdown by criticality, and your most recent alerts. It only counts tools that are live in your register - archived tools are left out of every dashboard number, even though they still count towards your plan.

Total software is simply how many tools you are actively tracking. It is a count of the records in your register, not including anything you have archived and not including the example record we seed into a new account, so a brand-new workspace shows zero here.

Annual spend is your cost across the estate, annualised so everything is comparable: a monthly cost is multiplied by twelve, a quarterly cost by four, an annual cost is taken as-is, and one-off costs are treated as zero for this rolling figure. Costs are summed per currency and never mixed, so a blended estate shows something like £4,200 + $1,900 rather than one misleading total.

Renewing ≤ 30d counts the tools whose renewal falls within the next month, with the number due within 90 days shown just beneath it. This tile turns amber when anything is renewing soon, so it is your early warning for what is coming up.

Notice window counts the tools where you are inside the cancellation-notice period on an auto-renewing contract - in other words, the ones where a keep-or-cancel decision is needed right now before they roll over. Overdue / expired counts tools whose renewal date has passed without a decision, or that you have marked expired. Both tiles turn red when they are not zero, because these are the ones that cost money if ignored.

If any active tool has no renewal date, an amber banner sits just below the stats with a headline such as 3 tools can't send alerts, and a line explaining that they have no renewal date and need one so reminders can fire. Those tools are counted in Total software but in none of the renewal figures, so without the banner a busy estate could look all clear while some tools are not being watched at all. Select the banner to open the register. Tools that never renew, such as one-off purchases and perpetual or open-source licences with nothing billed each cycle, are not counted, because no date is the right answer for them. Neither are archived tools, or tools you have marked Cancelled, Expired or Notice given. A Trial with no date is counted, because its trial end is exactly the date that needs watching.

The Action needed list gathers the most urgent tools into one place - anything overdue, expired, in a notice window, past its notice deadline (Notice missed), due soon or coming up - and sorts them so the nearest deadline is at the top. It shows up to eight tools, each with its status badge, its vendor, and the date that matters: the cancel-by date while a notice window is open, otherwise the renewal date, which reads Ends rather than Renews for a tool that does not auto-renew, because on that date it simply stops unless someone renews it. A tool saved without a renewal date is listed too, at the bottom, with a No renewal date badge and an Add date prompt in place of the countdown: without a date StackTrackr cannot send it a single reminder, so it stays on the list until you add one. Perpetual and open-source licences and one-off purchases are the exception: they never renew, so they are left off the list. Select any row to open that tool; a row with no renewal date (including a Trial with no date, which keeps its Trial badge) opens the tool's edit form at the Renewal date field instead, so you can add the date straight away.

On the side you get a breakdown by criticality, so you can see how much of your estate is business-critical rather than nice-to-have, and a Recent alerts panel listing the last few reminder emails StackTrackr sent, so you can confirm the right people were told in time. When nothing needs action, the list is replaced by an all-clear message - which is exactly where you want to be.
