Searching, filtering and sorting your register

The register lists every tool you track, and it is built to let you find one quickly. The search box at the top matches across a lot at once: the tool name, vendor, owner, category, business unit, website, notes and even the licence key. So you can search by the product, by the person who owns it, or by a phrase you jotted in the notes, and get the same result.

Alongside search are four filters. Category and Owner list the values actually present in your estate, so you only ever pick from real options. Status filters by lifecycle state - Active, Trial, Due soon, Notice window, Overdue and the rest - which is the quickest way to see, say, everything currently in a notice window. Criticality filters by critical, high, medium or low.

Filters and search stack together, narrowing the list as you add them, and a running count shows how many records match out of your total. When any filter or search is active a Clear button appears so you can reset to the full list in one tap.

By default the register shows your active tools only. The Archived toggle switches the view to show archived tools instead, with a small count next to it so you know how many are tucked away. It is a switch between active-only and archived-only rather than a way to show both at once.

You can sort by clicking a column header: Software (name), Vendor, Category, Cost, Renewal or Status. Each sort is meaningful for its column - cost sorts by amount, renewal sorts by date, and the rest sort by their text. Click the same header again to flip between ascending and descending, and tools with no value for that column always fall to the end so they never crowd the top.

The list pages in blocks of 25 by default, and you can change the page size from the pager at the bottom. Whenever you change a search, filter or sort, the register jumps back to the first page so you are never left staring at an empty one.

If a search or filter returns nothing you get a clear empty state with a shortcut to clear your filters, and if your register is completely empty you get a prompt to add your first tool. Select any row to open that tool's full detail page.
